Sales Funnel for Small Businesses: Template and Examples – Iskali Consultoría

Short answer: A sales funnel is the set of stages a lead goes through, from first contact to purchase. For most small businesses, five or six stages are enough: new lead, contacted, qualified, meeting or quote, negotiation and won or lost. Measure how many leads move between stages and how long it takes.

What is a sales funnel?

It’s a simple map of how leads become customers, and where they drop off.

Marketing funnel vs. sales funnel

The marketing funnel covers awareness and interest; the sales funnel starts when someone raises a hand: a form, call, message or visit.

Stages we recommend

Stage Exit criteria
New lead Contact info and source recorded
Contacted First reply sent
Qualified Meets your written definition
Meeting / quote Appointment held or quote sent
Negotiation Decision pending
Won / lost Outcome and reason recorded

Examples by business type

  • Clinic: inquiry → contacted → appointment booked → attended → treatment plan accepted.
  • Real estate: lead → qualified (budget, timing) → showing → offer → closed.
  • B2B services: lead → discovery call → proposal → negotiation → signed.

What to measure at each stage

  • Volume by source
  • Conversion rate between stages
  • Time in stage and first-reply time
  • Cost per qualified lead and per sale, by channel

Setting it up in a CRM

Create one pipeline with these stages, required fields (source, owner, market), and automations for reminders and stalled deals. Connect WhatsApp and forms so leads enter automatically (how to automate WhatsApp). Send closed sales back to Google Ads and Meta (Google, Meta).

Copy-ready template

Stage Owner Target time Next action
New lead SDR / front desk < 5 min Reply and qualify
Qualified Sales rep Same day Book meeting
Meeting / quote Sales rep 48 h Send quote
Negotiation Sales rep Follow up every 2–3 days Close or set date
Won / lost Sales rep Same day Record reason

Common mistakes

  • Too many stages nobody updates.
  • No written definition of “qualified.”
  • Lost deals without a reason.
  • A separate funnel for every channel.

Using it in the weekly meeting

Fifteen minutes: volume, conversion by stage, stalled deals and one improvement for the week. See What is RevOps?

Frequently asked questions

How many stages should a sales funnel have?

Usually five to seven. Fewer is better if each stage has a clear exit rule.

What’s the difference between a sales funnel and a pipeline?

The funnel shows conversion between stages; the pipeline is the list of active deals in those stages.

Does each channel need its own funnel?

No. Use one funnel and record the source on every lead.

What is a qualified lead?

One that meets criteria you agree on with sales, such as need, budget fit, timing and decision-maker.

Can I run the funnel in a spreadsheet?

To start, yes. A CRM helps once you have several reps or channels.
